1. What information do we collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information we collect may include: email addresses.
When you last used T1les. We record when you last opened T1les, to tell whether a Free workspace is inactive (see section 5).
Sensitive Information. We do not process sensitive information.
Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and the security code associated with your payment instrument. All payment data is handled and stored by Stripe. You may find their privacy notice here: https://stripe.com/en-li/privacy.
Social Media Login Data. We may provide you with the option to register with us using your existing social media account details (e.g., Google). If you choose to register this way, we will collect certain profile information about you from the social media provider, as described in "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Google API
Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To enforce our Terms of Service and keep the Services safe. When we investigate a report or a suspected violation of our Terms of Service, we may review the content in your account, including file names and files. If we take action on an account (removing content, a warning, a suspension, or closing the account), we keep a record of it: the account's email address, which rule was broken, what we did and when, the names of any files we removed, any notice we sent, and our notes on the case. If you pay for a workspace, we also pause or cancel its billing through Stripe as the Terms describe.
3. When and with whom do we share your personal information?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Workspace members and ownership changes. Everyone in a workspace can see the name and email address of its owner. When ownership of a workspace moves to someone else (the owner hands it over, a member's request to take over is granted, or a member pays to keep a cancelled or lapsed workspace), the new owner can see the workspace's billing details in Stripe, such as the last digits and expiry of the card on file and past invoices, and receipts go to the new owner's email. We email the previous and the new owner when this happens.
- Boards shared within a workspace. Everyone who can open a board sees what is on it, including the name of the person a tile is assigned to, comments on tiles (with the writer's name and the time), and each tile's history of who changed what and when. Comments and history are deleted when the tile or board is deleted, and can be included in a board export that a member downloads. When someone assigns you a tile, comments on a tile assigned to you or @mentions you in a comment, we email you the tile's title, the board's name, their name and the comment (sent through our email provider); you can turn these emails off in Account.
- T1les staff. To run and protect the service, T1les staff can see each workspace's board names, how many tiles each board has and how much attachment storage it uses, together with the workspace name and plan. They do not open tile contents, comments or uploaded files except to restore a deleted board, to investigate a report of abuse or a violation of our Terms, or at your request; each such restore is recorded in the workspace's activity history.
- AI tools. We build and maintain T1les with the help of AI coding assistants working under our direction (today Anthropic's Claude, used through Lovable and Claude Code). To do that work these tools can read our source code, our database structure and settings, and operational records such as account email addresses, workspace names and plans, board names, tile counts, storage used and activity logs, and they can run maintenance tasks on our database such as applying schema changes or removing expired data. They work within the same limits as our staff: tile contents, comments and uploaded files are opened only to restore a deleted board, to investigate a report of abuse or a violation of our Terms, to fix a fault you have reported to us, or at your request.
- Legal Obligations and Safety. We report apparent child sexual abuse material, along with information about the account involved, to the National Center for Missing & Exploited Children (NCMEC), which may share it with law enforcement. We may also disclose information when the law requires it, for example in response to a valid court order or subpoena.
4. How do we handle your social logins?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using your third-party social media account details. Where you choose to do this, we will receive certain profile information about you from the social media provider — often including your name, email address, and profile picture, as well as other information you choose to make public on such a platform.
We will use the information we receive only for the purposes described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. We do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information.
5. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law. Except as described in the next paragraph, no purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
Deleted boards. When an admin deletes a board, it moves to the workspace's Trash for 30 days, where the admins (and the person who deleted it) can restore it or delete it for good. While in Trash, the board and everything in it (tiles, comments, history and uploaded files) stay stored and are hidden from other members; T1les staff can also see and restore it from the Owner Dashboard, and such a restore is recorded in the workspace's activity history. After 30 days the board and its files are deleted permanently.
Cancelled and unpaid workspaces. When a paid plan ends, because the workspace owner cancelled it and the paid period is over or because payment can't be collected, we keep the workspace on the Free plan for 60 days and email its admins and members. At the end of the 60 days, or within about a day after, we delete the workspace and everything in it (boards, tiles, uploaded files, and memberships, plus the account of any member who belongs to no other workspace) unless a plan was renewed. We keep a short record of each deletion (workspace name, owner email, plan, and how many members and files it had).
Inactive Free workspaces. When no member of a workspace on the Free plan has signed in or opened T1les and nothing in it has changed for 12 months, we delete the workspace and everything in it (boards, tiles, uploaded files, and memberships, plus the account of any member who belongs to no other workspace). We email every member about a month and again a week before the deletion date; signing in, opening T1les or changing anything before then keeps the workspace. Paid workspaces are never deleted for inactivity. We keep the same short record of the deletion as above.
Enforcement records. We keep records of actions we take under our Terms of Service, even after the account is closed or deleted, for as long as we need them to handle appeals, disputes, and legal claims and to prevent repeat violations. When we report content to NCMEC, the law requires us to keep that content and related account information for at least one year, stored securely and with access limited to the people who need it.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
6. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security. Transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
Access to production data by our staff and by the AI tools we use is limited to what a task needs, is recorded in our owner activity log where it changes anything, and is reviewed by a person before changes go live.
7. Do we collect information from minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at privacy@t1les.com.
8. What are your privacy rights?
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time by contacting us using the details in "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below. This will not affect the lawfulness of processing before its withdrawal, nor will it affect processing conducted in reliance on lawful grounds other than consent.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can log in to your account settings and update your user account.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
If you have questions or comments about your privacy rights, you may email us at privacy@t1les.com.
10. Do United States residents have specific privacy rights?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law.

We have not disclosed, sold, or shared any personal information to third parties for a business or commercial purpose in the preceding twelve (12) months, and will not do so in the future.
